Privacy policy

1. Who we are

Samana Group, based at Hacienda Cocuyo, Monte Rojo, Santa Bárbara de Samaná 32000, Dominican Republic, is responsible for processing your personal data when you visit this website — Casa Factory, Samana Group's Flat House modular home project — or write to us through our contact forms.

2. What data we collect

Through our contact form we collect:

• Name
• Email address
• Phone number
• The message you write to us
• Your contact preference (in writing, video call, or in-person visit)
• The Flat House model you're interested in, if you write to us from a model's page

We also automatically log the language you're browsing in and the page you contacted us from, so we can follow up better.

This site has no user accounts and no online payments, so we don't collect data through those means. It does have an AI chat assistant, Sofía, whose data processing is described in the next section.

3. The chat assistant (Sofía)

This site includes an AI chat assistant, Sofía, which answers questions about our models and about the building process. Using it is voluntary: if you don't open the chat, no data is processed this way.

To generate each reply, the content of the conversation is sent to Anthropic (United States), the provider of the language model we use. Under the commercial API terms we have contracted with Anthropic, the content sent is not used to train their models, and those same terms incorporate a data processing agreement with the Standard Contractual Clauses approved by the European Commission. Anthropic retains operational API logs for a limited period — 7 days by default — before deleting them.

We do not store the transcript of the conversation. There is no database, log or emailed copy of what you write in the chat: the conversation lives only in your browser's memory and disappears when you reload or close the page.

From what you write, our system automatically extracts the following data, when you mention it: name, email address, phone number, budget, whether you already have land and where, your timeline, and the model you're interested in.

This data is sent to our CRM (GoHighLevel) via n8n only once you have given your name and at least one contact channel — email or phone — that is, once the conversation becomes a genuine request to be contacted. If you don't provide those details, nothing is sent.

Your IP address is used solely to limit automated abuse of the chat. It is held in memory for a few minutes and is neither stored nor shared with third parties.

4. What we use your data for

We use the data you share with us exclusively to:

• Respond to your inquiry about our modular home models
• Contact you to coordinate a call or visit, if you requested one
• Follow up commercially on your interest in Flat House

We don't use your data for advertising, and we don't sell it or share it with third parties for their own commercial purposes.

5. Legal basis for processing

We process your data on the following GDPR legal bases, depending on the purpose:

• Art. 6(1)(b) — pre-contractual steps at your request: answering your inquiry and arranging a call or a visit, when you are the one asking for it through the form or the chat.
• Art. 6(1)(f) — legitimate interest: following up commercially on your interest in Flat House, and protecting the site against abuse (per-IP submission limits, anti-bot mechanism). You can object to this processing at any time — see "Your rights".
• Art. 6(1)(a) — consent: analytics cookies, which are only activated if you choose "Accept all" in the cookie notice. You can withdraw your consent at any time via "Cookie settings" in the footer.

6. How we protect your data

This site includes technical measures to protect your data and prevent abuse: per-IP submission limits to slow down automated spam, an invisible anti-bot mechanism (honeypot) on our forms, and HTTP security headers on every page.

We don't keep our own database of your information: the message you send is transmitted directly to our customer relationship management system (CRM), described in the next section.

7. Who we share your data with

We share your data only with the following providers, who act as data processors on our behalf:

• GoHighLevel — our customer relationship management system (CRM), where your contact information is stored so our sales team can follow up.
• n8n — automation tooling that carries your message from the form to the CRM. It's privately hosted by our technical team, not a third-party service.
• Vercel — the platform that hosts this website.
• Anthropic — provider of the language model that generates the Sofía chat assistant's replies. It receives the content of the conversation while you chat; it receives no data from the forms.
• Cloudflare — storage provider (Cloudflare R2) where we host the videos from our projects. Your browser only connects to Cloudflare when you play one of those videos — not when the page loads; at that point Cloudflare receives your IP address, as any provider serving a file would. It receives no data from the forms or the chat.

We don't share your data with social networks, advertising platforms, or any other third party.

8. International data transfers

GoHighLevel, Vercel, Anthropic and Cloudflare are based in the United States, so your data may be transferred to and stored outside your country or the European Economic Area.

This transfer is necessary to handle your commercial inquiry (GDPR art. 49(1)(b)). In addition, these providers offer contractual safeguards for international data transfers, such as the Standard Contractual Clauses approved by the European Commission.

In Cloudflare's case, the transfer is limited to your IP address and only happens if you play one of the videos from our projects; if you don't play any video, no transfer to Cloudflare takes place.

9. How long we keep your data

We keep your contact data for as long as a potential business relationship with you exists. If there's been no interaction for 24 months — for example, if you don't respond to our follow-up or the process doesn't move forward — we delete or anonymize your data, unless the law requires us to keep it longer or you ask us to delete it sooner.

10. How we classify your inquiry

When you write to us, our system automatically assigns your inquiry a priority label — "Hot", "Warm" or "Cold" — so the sales team knows who to attend to first. The label is calculated using fixed, simple rules: asking for a call or a visit marks the inquiry as a priority; leaving a phone number or writing from a specific model's page places it at an intermediate level; a newsletter-only sign-up stays at the lowest level.

This classification is used solely to order the team's response queue. It has no legal effect on you, it involves no automated decision-making within the meaning of Art. 22 GDPR, and it does not affect pricing, terms or access to our products: a person always replies to you. You can object to this classification or ask us to review it by writing to hello@samana.group.

11. Your rights

Under GDPR and applicable law, you have the right to:

• Access the data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Request restriction of processing (Art. 18 GDPR) — for example, while we verify the accuracy of data you have contested
• Object to the processing
• Request data portability
• Withdraw your consent at any time, when processing is based on it

If you believe we have not handled your rights properly, you can lodge a complaint with the supervisory authority in your country (Art. 77 GDPR). For users in Poland, the competent authority is the Prezes Urzędu Ochrony Danych Osobowych (PUODO), ul. Stawki 2, 00-193 Warsaw, uodo.gov.pl.

13. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top of this document reflects the version in effect.
